What's the Difference Between a Document, Record, and Content?
A Record is defined as a document or other data that is regarded as complete and unchangeable. It may exist as paper, as a scanned image or electronically. Records are different from documents, records cannot be modified or deleted except in controlled circumstances, they have retention controls and they are arranged in a structure.
A Document is defined as information, stored on paper, as a scanned image, or electronically, that may be subject to revision. Document management applies specifically to the management of discreet documents and images throughout their lifecycle; typical functionality includes acquisition, organisation, versioning, access control, and archiving.
Content is in essence, any type or 'unit' of digital information. It can be text, images, graphics, video, sound, documents, records etc - or in other words - anything that is likely to be managed in an electronic format.
Are Documents Stored in the Database or On a File Server?
In standard configuration, FusionDox will store all documents and forms inside its repository, which is in a database. This ensures that documents cannot be touched except through using FusionDox.
Alternatively, documents such as scanned paper documents may already exist on a file server or in another document management technology. FusionDox can automate workflow for these documents by linking to them in their current location.
How Can Remote Users Edit Microsoft Office Documents?
FusionDox is 100% web based, so remote users have the same user experience whether they are in the office or at a remote location. When they choose to edit a document (such as a Microsoft Office document), it will be streamed to their PC and opened in their application on their local computer, regardless of where you are located.
Can FusionDox See Documents or Data in My Existing In-House Systems?
FusionDox is not just a powerful system for authoring forms and documents, but it is also a middleware technology. Forms can easily pull and link to data and documents in your remote systems, custom views and reports can be built to show information from your remote systems and you can even create portal views that show both FusionDox and external data all together.
